The Challenge

A new employee’s onboarding experience may appear simple from the outside.

Accept the offer. Complete required steps. Arrive ready for the first day.

Inside a large enterprise, however, that journey depends on coordinated activity across HR processes, screening, identity information, badge preparation, employee data and multiple technology teams.

When those dependencies remain disconnected, new hires can encounter unclear tasks, changing requirements and inconsistent information during one of their first interactions with the organization.

A global financial institution engaged DTI to support an India-focused ServiceNow onboarding initiative designed to connect more of that journey.

DTI’s Approach

The program focused on creating a guided onboarding experience capable of bringing together:

  • Employee tasks
  • HR workflows
  • Connected system information
  • Readiness activities

All within a mobile-responsive ServiceNow experience.

The engagement included:

Discovery and Planning

Assessing onboarding processes, identifying dependencies and helping define an implementation roadmap.

Employee-Experience Design

Developing journey concepts, portal wireframes and clear employee task experiences.

ServiceNow Configuration

Configuring lifecycle events, activities and workflows supporting common onboarding scenarios.

Workflow and Data Coordination

Working alongside enterprise integration teams so onboarding processes could consume the information required from connected environments.

Testing and Operational Transition

Supporting configuration testing, defect resolution, cutover planning and administrator knowledge transfer.

Performance

The contracted implementation scope included:

  • 1 mobile-responsive onboarding portal containing eight pages
  • Up to 16 custom widgets supporting the employee experience
  • 1 onboarding lifecycle event configured using ServiceNow Journey Designer
  • Up to 6 activity sets containing as many as 75 activities
  • Up to 5 workflows supporting onboarding scenarios

Workflow scenarios included:

  • Start-date changes
  • HR data validation
  • Readiness to join
  • Background screening
  • Badge-photo processing

The implementation covered external hires, rehires and specified conversion populations in India.

By expressing those dependencies through ServiceNow lifecycle events, activities and workflows, the organization could create a more structured framework for coordinating the new-hire journey.
